DEFINITIONS

You
     This is the person who contacts and requests the services of ITs MY EVENT.

We
     ITs MY EVENT: ITs MY EVENT is a trading name of LMCHAPMAN

BOOKINGS

  • A written contract will be provided to you by ITs MY EVENT containing all the details of the event for verification and acceptance.
  • A deposit of 20% is required for all bookings within a specified period (usually 14 days). On receiving the deposit the booking will formally be accepted as a contract between IT’ MY EVENT and you.
  • Paying a booking deposit for your event is a binding guarantee of the contract with ITs MY EVENT for the specified event, date and times. Any non-payment of a deposit within the specified period allows us to change our work schedule without any further notice.

PAYMENTS

  • You are responsible for all payments to ITs MY EVENT.
  • Deposit payments can be made by cash, bank transfers, mobile-to-mobile (PAYM), or cheque payable to ITs MY EVENT.
    (Bank Transfer/PAYM details on request).

  • Any outstanding payment is required at the event in a timely manner. Failed payment will result in the termination of our services and/or if there is a failed payment of any fees owed within 30 days, under the agreement by ITs MY EVENT, after the date of the event, this will result in legal action.
  • You are responsible for any damage to our equipment caused by any person at the event. You will be advised of any damage as soon as it is caused and will be charged for the full cost of any repairs, or replacements required.

CANCELLATIONS

  • Any cancellations or notified changes must be made at least 30 days prior to the date of the event in writing/email. If you fail to cancel your booking before this date you may be charged the full booking fee.
  • When a booking has formally been cancelled, the deposit will only be refunded at the discretion of ITs MY EVENT.
  • ITs MY EVENT shall be entitled to terminate the contract without liability if for any reason beyond its control ITs MY EVENT is unable to perform or fulfil obligations, due to fire or theft of equipment, illness or breakdown of vehicle ITs MY EVENT will use all reasonable endeavours to locate a third party to fulfil the booking, but, in the unlikely event this is not possible all monies paid will be refunded, but this will be the limit of our liability to you.
  • Force Majeure – ITs MY EVENT will not be liable for failing to attend a booking, where the reason for non-attendance or late arrival is caused by adverse weather conditions, road closure, road traffic accident, vehicle breakdown, fuel shortages, acts of terrorism, industrial action, or other unavoidable circumstances deemed beyond our control. ITs MY EVENT will not be held responsible for any consequential loss whatsoever.

GENERAL

  • It is the customer’s responsibility to ensure equipment booked is suitable for use at the event venue. No refunds, part or full, will be given for non-use of specific equipment that cannot be used due to any venue restrictions imposed. Not all equipment is designed to fit through narrow doorways and/ or up staircases. It is the customer’s responsibility to inform us of any access restrictions that may impede set up or restrict equipment use.
  • We reserve the right to refuse to continue any event prior to the start should there be insufficient floor space or suitable access which would not allow the audio and lighting equipment to be assembled safely.
  • Under Health & Safety laws, we can withdraw or refuse to provide our services in an unsafe building, access or venue where the safety of our representatives or the public may be jeopardised. In this unlikely event the booking will be terminated and the full booking fee payable.
  • ITs MY EVENT does not tolerate violent, aggressive or abusive behaviour from anyone under any circumstances. We also reserve the right to terminate our services at any time if we feel personal safety is under threat. You will be advised of any problems that we may have in this respect with any of your guests.
  • Under no circumstances may unauthorised personnel tamper, move or attempt to use equipment owned by ourselves. We cannot accept responsibility for damage to property, or injury to persons caused directly by third-party intervention.
  • We will not be responsible for any damage or loss to private or public property caused by invited or uninvited guests.
  • Anyone working under ITs MY EVENT services will conduct themselves in a proper manner throughout their attendance at the venue and will respond the Management’s requests as to volume, sitting of equipment and, or any other reasonable requests. We will not be liable for non-fulfilment of this contract by the Management although every reasonable precaution will be taken. In the event of the client seeking compensation, we will not be liable under any such claim, and will only be liable for a sum up to and not exceeding the contracted amount.
  • You the client will where possible provide:

    * Parking for one vehicle as near to the venue as possible
    * Changing facilities for one person (if required for DJ)

  • All our electrical equipment is checked prior to arrival and has been fully tested for safety.
  • We operate regularly serviced and maintained good quality sound and lighting equipment. In the rare event of any equipment failure, an onsite repair will be attempted. If however there is an irreparable breakdown which seriously impairs the event a partial refund may be given. If there is an irreparable breakdown in sound (Mobile Disco) a full refund will be given.
  • If for any reason you are not completely satisfied with our service you must raise this at the time, rectifications cannot be made at a later date.

PHOTOGRAPHIC SERVICE

  • Copyright of all photographs belongs to ITs MY EVENT unless where specified, with the exception that ITs MY EVENT reserves the right to use any photographs for publicity purposes.
  • Photographs will be available to view via a private online gallery approximately two to three weeks from the day of the photo session.
  • ITs MY EVENT will contact the client with the relevant gallery login details. It is the sole responsibility of the client to keep the supplied details private or to grant access to others.
  • Digital images will be archived by ITs MY EVENT until one of the following conditions apply:

    1. They are deemed unnecessary
    2. A term of no less than of 5 years has expired
    3. Notification in writing by the clients to destroy the photographs.

MOBILE DISCO SERVICE

  • Confetti Cannons, Pyrotechnics, Smoke/Fog/Snow Machines – It is the client’s responsibility to ensure they have the relevant permission from the venue for use of these services, ITs MY EVENT will also seek permission to use such equipment at the venue although permission may be revoked by the venue at the event; payments will not be refunded or reduced due to these circumstances.
  • Smoke/Fog Machines – This equipment produces water-based mists that are not harmful, under normal circumstances they should not start fire/smoke alarms but this cannot be guaranteed. It is the responsibility of the client to obtain prior permission from the management at the event’s venue to use such devices.
  • The use of a strobe may be used by the DJ at the event; however, if they are any concerns by you in their use, please inform the DJ at the earliest opportunity.
  • We reserve the right to use any photographs taken during the event for promotional purposes unless otherwise advised.
